Retail billing platform
A cloud billing and stock system that replaced paper registers across two branches.
[ THE PROBLEM ]
Two branches, two sets of books, and no way to know what was actually in stock.
[Placeholder client] ran billing on paper and stock on a spreadsheet updated once a week. Queues built up at the counter during evenings, and staff regularly sold items that had already run out.
Stock counts between the two branches never matched, so the owner could not tell which products were actually selling.
[ WHAT WE BUILT ]
- Barcode billing that prints or shares a receipt in under five seconds
- Live stock shared across both branches, updated on every sale
- Low-stock alerts sent to the owner on WhatsApp each morning
- Daily, weekly and GST-ready reports exported to Excel
- Staff accounts with separate permissions for cashier, manager and owner
- Offline mode that keeps billing running when the internet drops
[ HOW WE WORKED ]
We spent two days behind the counter during peak hours before designing anything. That is where the offline requirement came from — the connection dropped four times in one evening.
The first release covered billing only. Once staff were comfortable, we added stock, then reporting. Splitting it this way meant no single change was large enough to disrupt trading.
Existing product and price lists were migrated from their spreadsheets, so the system was useful from day one rather than starting empty.
